Wheree for business

Claim & Business
Verification Policy

Everything you need to know about managing your business presence, platform guidelines, and maintaining community standards.

Purpose & Core Principles

This policy is designed to protect the integrity of the Wheree platform and ensure that only legitimate or authorized parties are able to manage business listings. The verification process is intended to reasonably confirm a connection between the claimant and the business.

Important Note

Wheree's verification does not constitute legal certification of ownership, beneficial interest, or any proprietary rights in the business. Wheree does not adjudicate ownership disputes. Any such disputes must be resolved through appropriate legal channels.

Eligibility to Claim

To claim administrative rights for a business listing on the Wheree platform, you must demonstrate a legitimate connection to the business, either as an owner, operator, or an authorized representative.

Wheree may require supporting documentation or additional information to verify this connection. The person submitting the claim is responsible for ensuring that all information provided is accurate, complete, and not misleading.

Verification Methods & Documents

Wheree may require businesses to submit documents or other supporting materials to verify their connection to a business listing.

Accepted documents may vary depending on the nature of the business, local regulations, and the level of verification required.

These documents have high verification value and are prioritized for faster processing:

Business License / Registration

An official document issued by a government agency showing the business name and tax ID/registration number.

VAT / Tax Certificate

A document confirming the business's tax registration with local authorities.

3.2 Verification Documents by Country

The documents listed below are examples of commonly accepted verification materials and are not exhaustive. Wheree may request alternative or additional documentation where necessary.

Wheree may assess submitted documents based on factors such as consistency, authenticity, recency, and the claimant's connection to the business.

Wheree reserves the right to determine whether submitted documentation is sufficient for verification.

3.3 Review Checklist

  • Consistency: Business name and address on documents must match 100% with the signage and info registered on Wheree.

  • Recency: Documents (especially bills/extracts) should ideally be issued within the last 3–6 months.

  • Authenticity: Clear photos/scans without Photoshop/AI edits, glares, or obscured QR codes/stamps.

  • Connection: The person claiming must have a clear link — business domain email or name appearing on the license/authorization.

Platform DiscretionWheree reserves the right to request additional documentation or clarification where necessary.

Review Process

Wheree applies a risk-based review process. The level of verification required may vary depending on the completeness and credibility of the submitted information.

Wheree may request additional documentation or clarification where necessary. In cases involving conflicting claims, administrative access may be temporarily restricted until the matter is clarified.

Submission Received

Your documents are logged and queued for initial review by the operations team.

Risk Assessment

Files with a stronger evidentiary basis: business domain email, documents matching public records, are processed with greater efficiency.

Additional Verification (if needed)

Our team may reach out directly via email with specific guidance if further documents are required.

Decision & Notification

You will be notified via email of the outcome. In cases of conflicting claims, access may be paused until the matter is clarified.

Ownership Disputes

Where multiple parties assert rights over the same business listing, or where submitted information is conflicting or inconclusive, Wheree may temporarily suspend or restrict administrative access to the listing until the matter is sufficiently clarified. Wheree may request additional documentation from the parties involved to assess platform-level eligibility.

Wheree's role is limited to determining whether a claimant meets the platform's verification requirements and does not extend to adjudicating legal ownership or proprietary rights in the business.

Where disputes cannot be resolved through submitted documentation, the parties are responsible for resolving such matters through appropriate legal channels.

Clarity

Evidence must be unambiguous and directly relevant

Authenticity

Documents must be genuine, unaltered, and verifiable

Legal Weight

Evidence must carry appropriate legal authority

Post-Verification Rights

Once verified, businesses may access tools to manage their business listing on the Wheree platform. This may include updating business information such as name, address, operating hours, contact details, and service categories to ensure accuracy. Verified businesses may also upload and manage content, including photos and other materials associated with their listings.

Update Business Info

Edit name, address, operating hours, contact details, and service categories.

Manage Media

Engage with Reviews

Respond to customer reviews professionally and report content violating Community Guidelines.

In addition, verified representatives may respond to user reviews and report content that violates platform policies, including spam, fake reviews, or abusive content.

Access to such tools may be limited or revoked in accordance with these Terms or applicable policies.

Suspension & Revocation

Following our Business Guidelines, Wheree reserves the right to suspend or permanently revoke administrative access to a listing if a verified representative is found to have engaged in any of the following:

  • False or Misleading VerificationSubmitting fabricated, altered, or misrepresenting documents — including edited files, forged authorization letters, or any material intended to deceive the verification process.

  • ImpersonationClaiming or attempting to manage a listing without legitimate authorization, or misrepresenting oneself as an owner, manager, or authorized representative.

  • Business Name ManipulationInserting promotional keywords, phone numbers, or unrelated terms into the business name field inconsistent with the officially registered name.

  • Review ManipulationBribing, pressuring, or incentivizing customers to leave favorable ratings, or engaging in any coordinated effort to artificially influence the review score.

  • System FraudUsing artificial or deceptive tactics to influence search ranking, visibility, or platform algorithms, including unauthorized disclosure of customer personal data.

  • Dishonest ReportingFlagging or reporting genuine customer reviews solely for the purpose of removing unfavorable feedback, rather than addressing legitimate policy violations.

Depending on the nature and severity of the violation, enforcement actions may include temporary suspension or permanent revocation of administrative access.

Wheree's determinations are final at the platform level, without prejudice to any legal rights or remedies available to the parties.

Third-Party Representation

Agencies, consultants, and other third parties managing a business listing must have valid authorization from the business owner.

Wheree may verify such authorization directly with the business using official contact channels.

The business remains responsible for all actions taken by its authorized representatives on the platform.

Any misconduct or policy violations by a third party may result in enforcement action against the associated business listing.
